Three Ways Card on File Saves Your Practice

Less front-desk friction. Fewer unpaid balances. Stronger no-show enforcement.

Frictionless Collection

Patients opt in at booking or kiosk — before they're in the exam room. Checkout takes seconds. No card machine fumbling, no split payments to resolve.

No-Show Enforcement

Set a no-show or late-cancel fee in your policy. When a patient misses, authorized staff charge the fee in two clicks. The patient gets a receipt. No collections calls.

Balance Recovery

Outstanding balances from insurance adjustments, secondary billing, or cash-pay visits charge directly to the card on file — no statements, no waiting 30 days.

How It Works

Card saved once. Charged when needed. No re-entry required.

1

Patient Opts In

At online booking or kiosk check-in, the patient enters and saves their card. Stripe tokenizes it instantly.

2

Card Stored Securely

A Stripe token appears in the patient record. No card number stored on MedSiteAI servers.

3

Staff Initiates Charge

Authorized billing staff select the amount, reason, and confirm. Takes under 10 seconds.

4

Patient Gets Receipt

An SMS or email receipt fires automatically. Transaction logged in both billing and patient records.

Built for Healthcare Billing

Secure, compliant, and designed around how practices actually collect payments

Tokenized Storage via Stripe

Card details never touch your servers. Stripe tokenizes the card at the source — you hold a reference, not the number. PCI DSS Level 1 compliant.

Opt-In at Booking or Kiosk

Patients save a card when booking online or during kiosk self-check-in. No awkward front-desk card-swipe conversation.

One-Tap Charge from Dashboard

Staff charge the card on file directly from the patient record — copay, balance, or no-show fee. No re-entering card details.

No-Show Fee Enforcement

Set a no-show policy. When a patient misses without notice, charge the fee with one click. No phone tag, no unpaid invoices.

Works with Payment Plans

Card on file is the engine behind payment plans — scheduled installment charges run automatically against the stored card.

Role-Gated Access

Only staff with billing permissions can view saved card status and initiate charges. Audit log tracks every transaction.

Card on File vs. Traditional Billing

Most practices lose 5–10% of revenue to unpaid balances. Card on file closes that gap.

Without Card on File

  • Front desk collects card at checkout — adds friction
  • No-shows go uncharged — revenue lost
  • Statements mailed, ignored, or disputed
  • Staff time spent on collections follow-up
  • Patients who never pay return anyway

With MedSiteAI Card on File

  • Card saved before the appointment — checkout is instant
  • No-shows charged in 2 clicks, receipt auto-sent
  • Balances charged directly — no 30-day wait
  • Staff focus on patients, not collections
  • Patients understand the policy upfront

Frequently Asked Questions

Is storing a card on file safe and legal?

Yes. MedSiteAI uses Stripe, a PCI DSS Level 1 certified processor. Card numbers are tokenized and never stored on our servers or yours. Patients provide explicit opt-in consent, which satisfies Stripe's stored card requirements.

When does the patient save their card?

Patients can save a card when booking an appointment online or during kiosk self-check-in at your office. The opt-in prompt is clear and voluntary — patients who decline proceed normally.

How do staff charge the card?

From the patient record in your MedSiteAI dashboard, authorized staff see a "Charge Card on File" button. Enter the amount and reason, confirm, and Stripe processes the charge. The patient receives an SMS or email receipt.

Can patients remove their card?

Yes. Patients can request removal at any time. Staff can also remove a saved card from the patient record. Stripe's tokenized reference is deleted, and no further charges can be made.

Does it work for recurring or payment plan charges?

Yes. Card on file powers payment plans — scheduled installments charge automatically on the agreed dates without staff intervention. See the Payment Plans feature for full details.

Stop Leaving Revenue on the Table

Card on file is included in MedSiteAI — no extra setup, no extra fees.
